Medical congress

A multi-day scientific congress with parallel halls, hundreds of short talks and constant late revisions.

Medical congress
The setting

A typical setup

Several halls run in parallel from morning to evening. Each hall has a room machine and an operator; a central ready room receives files from speakers who arrive throughout the day.

An illustrative workflow, not a customer case study.

The workflow
  1. Before the event

The programme is imported from a spreadsheet into rooms and sessions. Speakers receive a submission link and upload ahead of time.

  2. Arrival

Speakers check in at the ready room. Staff see who is missing files, import late decks from USB, and run the pre-flight check.

  3. In the hall

Each hall machine already has its files, in running order. The operator opens each talk on cue; the chair follows the live status and the timer.

  4. Late changes

A revised deck uploaded at the ready room becomes a new version and reaches the hall before the session.

  5. Afterwards

The audit trail shows which version was shown in each session, and data can be exported for the organiser's records.
